How do I set up a Team Xpress account without actually sending an invitation to the employee?

Send the invitation to yourself:

  • Create the employee using your own email address

  • Send the employee an invitation by email

  • When you get the email, accept the invitation and follow the instructions

  • When prompted for a password, enter the password that you want the employee to have

  • Enter the employee’s true email address

  • Put checkmarks on the Consent box(es), That is a vital step, and can be done only through this process

  • Logout of Team Xpress

  • That’s it

What happened to the Void status?

In previous versions of Celayix there were three employee statuses: Active, Inactive, and Void. There was also a quasi-status of Void-Archived.

Now the three statuses are Active, Inactive and Archived. There is no more Void status. The reason for this is that many users told us that they always archived an employee immediately after setting them to Void. We eliminated the middleman.

Celayix SMS Usage Warning

I received this email. What does it mean?

Celayix SMS Usage Warning

You have exceeded 75% of your SMS message allowance of 5000 for March which has 6 days remaining. Please contact Celayix support if you need to increase your SMS message allowance as overage charges will apply once you exceed 100% of your SMS message allowance. We can be contacted by replying to this email.

Your Celayix account has a monthly SMS allowance, which is shown in the Usage Warning message. After you use your allowance there is an overage fee for additional messages. You can pay the overage, which will vary from month to month based on actual usage, or you can purchase a larger monthly allowance. Contact Celayix Support to discuss the options.

NOTE that all references herein to messages actually relates to message-units. One unit is 140 characters. Therefore a long message will use more than one message unit.

SMS / text messages are sent for these reasons:

  1. An Invitation is sent to a new employee, and you have chosen the SMS option when sending the invitation. The invitation is for them to authorize their new Team Xpress account.

  2. An Alert is sent to the employee when they do not check in, or check in late, or forget to do a safety check, or make other mistakes related to checking in and out of their shifts.

  3. A General Notification is sent to an employee when you use the Notify Employee item in Schedule Xpress.

  4. Shift Change Acknowledgements are sent to remind employees that they have shifts that need to be acknowledged. If employees do not acknowledge then they continue to be sent reminders until they take action.

  5. Shift Confirmation Reminders are sent when the employee is required to confirm that they will work a shift.

  6. Shift Bid notifications are sent related to bid invitations and bid results

  7. Time off requests results - approved and declined

You can see the SMS messages that have been issued by going to the SMS Log Viewer in eTime Xpress. It shows the messages along with who they were sent to. Importantly it also shows the number of message units.

For an employee to receive SMS messages there must be a Mobile number in their profile, and the employee must have consented to receive SMS messages. They can turn consent on and off in Team Xpress. You cannot turn Consent on and off on their behalf, they must do it themselves.
