Overview

These release notes provide information on the latest features added to Celayix’s industry leading scheduling and time & attendance software.

Version

These notes are for version 8.0.9, released in January 2019. They cover the changes made since version 8.0.6 released in May 2018.

Celayix products and modules are available in many different configurations. These release notes may describe features that you have not configured or do not have access to.

Reference numbers

The descriptions may include Celayix internal reference numbers. For example, ET-1234. You may refer to these if you have questions about the features and changes.

New and Updated Features

Schedule Xpress

Shift Bidding

NEW: Shift bidding is a process whereby one or more employees can express interest in working an open shift. The employees will receive a notification when such shifts are available and will be invited to respond using Team Xpress. The scheduler can choose which employees will be invited to bid. The scheduler can review the bid results (whether an employee submitted a bid, declined the bid or did not respond), and can assign the shift to one of the employees who submitted the bid.

Employee search rules

The scheduler can set up different configurations that include pre-set criteria to be applied when running Find Replacement or Autofill. The criteria, such as the employee must meet the shift qualifications and does not incur OT, are set under Employee Search Rules. Formerly these were configured as Find Replacement filters; now these filters are available for Find Replacement and Autofill.

Autofill Priority

NEW: This feature implements the Autofill functionality that is in eTime but with improved usability. The user can select multiple Open shifts and run Autofill Priority, which will assign employees automatically to the Open shifts according to criteria set by the scheduler. There is improved functionality such as running the process in the background, and reverting the shifts back to Open if the scheduler does not agree with the assignment.

Autofill Sequence

NEW: This feature implements the Autofill Rotation functionality that is in eTime but with improved usability. Use this option to assign suitable employees to Open shifts based on a strict sequence order. For example, this option might be used in a union environment where each employee has a seniority number. Once the last employee in sequence has been assigned an Open shift, the process will return to the first employee in sequence for the next Open shift.

If the next employee in sequence cannot be assigned to the next Open shift (based on shift processing order) then two options exist: (1) skip this employee and go to the next employee in the sequence, and (2) assign the selected employee to the next Open shift based on shift processing order.

Notification Portal

NEW: A Notification sub-menu is now present in the left side menu in Schedule Xpress. It has 4 panels: All, Alerts, Requests and Results. Currently only Shift Bidding notifications will be present in this panel. The scheduler can now be notified when ‘No bids were received by deadline’ for shifts that were sent out for bidding.

Event import from CSV file – AF-569

NEW: This allows importing Event data into the Labor Forecasting Module in a CSV format from a third party source.

Keyboard shortcuts with lasso – SCHXP-1864

The user is now able to use the lasso to select shifts that were not on the original page, by holding the Ctrl key, scrolling down to display the additional shifts and then using the lasso to highlight them.

Repeat option on Add shift and Apply shift template – SCHXP-2099

NEW: This new functionality allows for selected shifts to be repeated, optionally setting the shifts to Open. There are 3 options to choose from: (1) Repeat shifts on the same day, (2) every nth day, and (3) on selected days of the week.

Free form entry of times – SCHXP-2330

NEW: For additional ease of use, the user is able to type times of day in many convenient formats. For example, these all represent the same time:

2:10 PM, 210pm, 210p, 1410, 14,10, 14:10, 2.1pm, 2,10p

Icons for Visual Shift Status – SCHXP-2454

NEW: Icons now appear on shifts to help identify the status of the shift. For example, has the shift been acknowledged, is it a self-scheduling shift, etc. There is a priority order for the icons, configured by the user through the Visual Shift Status settings.

Horizontal scrolling speed improvement – SCHXP-3466

The overall performance of layouts that include many days is improved, particularly for scrolling horizontally.

Shift Details Window – SCHXP-2969

The layout of the Shift details in the main grid has been improved. Additionally there is now a popover with more detailed information when the user single-clicks on the shift. (Double-click updates the shift’s details.)

Templates are now shared among all users – SCHXP-2953

NEW: Previously, templates created by one user were not available to others. Each user would have to create their own template. Now shift templates are shared among all users. Note that if two users currently have templates with the same name (e.g., both have a template named XYZ) then one of the templates will be renamed to include the original user’s name (e.g., XYZ-Mary).

eTime Xpress

Site Address added to Billing Summary report – ET-753

The Site billing address is now available in the Billing Summary report.

Team Xpress

Notification Portal

NEW: A Notification item is now present in the header of any page in Team Xpress. Currently this is enabled only for Shift Bidding. There are four panels:

  • All (default)
  • Alerts - Critical items
  • Requests - Items that require action (e.g., shifts are available for bidding)
  • Results - Informative Items about shift or status changes, reminders or general info (e.g., shift bid cancelled)

Confirm/Cannot Work/Unconfirm multiple shifts – TEAMXP-663

If configured, the employee can update the status of multiple shifts at the same time.

Time off shows one year of requests and Time off records – TEAMXP-902

Requests are displayed from the 1st of the previous month to the next 12 months.

Self-scheduling filters on the search screen –TEAMXP-1037

Based on user feedback, filters now appear next to the dates.

Web links in the Notes field – TEAMXP-1217

You can now click on a web link in the Notes field.

View individual accrual totals – TEAMXP-1257

Team Xpress users can now view accrual totals by type of Accrual. E.g. Sick, Vac, etc.

Bug Fixes

eTime Xpress

When Days of the Week was checked for Shift Change acknowledgment and Monday was not selected for Shift Change acknowledgement then notifications were not being sent – ET-685

When Days of the Week was checked for Shift Change acknowledgment and it was the last day of the month then notifications were not being sent – ET-686

Recurring allowances when using the operator ‘During Hours’ were not being calculated correctly for branches that use Midnight Cutoff – ET-731

Schedule Xpress

Pasted shifts are now placed on the grid in a consistent manner when using the Ctrl+V – SCHXP-1848

If the employee has a day off set in the work week in eTime then they won’t be included when Find Replacement is run – SCHXP-2614

Team Xpress

When a time off record was entered during a restricted period, Team Xpress incorrectly showed a success message. Not it shows the correct message – TEAMXP-1044

Forgot Password was not working correctly in some cases –TEAMXP-1047

User name and client ID are now displayed in the ‘About’ area – TEAMXP-1081

If the user tries to save a Timesheet without a status there will now be an error message – TEAMXP-1104

When adding a Time Off request the end date cannot be earlier than the start date –TEAMXP-1155

When doing a Find in Self-Scheduling the end date cannot be earlier than the start date –TEAMXP -1157

The user is now able to Check In to a shift that they had previously recorded as Cannot Work – TEAMXP-1214

Correct translations are now displaying in French and Spanish in the time sheet module – TEAMXP-641

Time Xpress

An error appeared when doing a Check In/Out. Error: dsShifts is invalid. JSON String **Invalid character in numeric input (76) – TIMEXP-1087

An error message resulting from the computer going to sleep has been removed – TIMEXP-1095

Spanish translations have been updated and corrected – TIMEXP-1096

An error no longer displays on the top of the screen when opening an existing shift to see the details or edit it – TIMEXP-1099

The ellipses menu now has a 'Reset to system default' button – TIMEXP-1103
