Overview

These release notes provide information on the latest features added to Celayix’s industry leading scheduling and time & attendance software.

Version

These notes are for version 8.0.10, released in March 2019. They cover the changes made since version 8.0.9 released in January 2019.

Functions and Modules

Celayix products and modules are available in many different configurations. These release notes may describe features that you have not configured or do not have access to.

The descriptions may include Celayix internal reference numbers. For example, ET-1234. You may refer to these if you have questions about the features and changes.

New and Updated Features

Schedule Xpress

Shift Confirmation

NEW: Prior to this release, the Shift Confirmation process offered two options to the employee: Confirm and Cannot Work, whereby the employee would indicate that they could or could not work the shift. The two options were always offered as a pair. As of this release ‘Cannot Work’ has been renamed ‘Shift Drop’, and the Confirm and Shift Drop options can be enabled independently of each other.

Each option can have a deadline by which time the employee must have responded to the relevant option. The deadlines can be

  1. a specific number of hours prior to the shift start time
  2. a number of days prior to the shift start time (at a specific time)
  3. at a designated date and time

For shift confirmation, it is now possible to

  1. automatically remind the employee to confirm shifts if they have not already done so a number of hours prior to the deadline
  2. automatically notify the scheduler if the shift is unconfirmed at the deadline

For shift drop, it is possible to

  1. automatically remove an employee from a shift that they have dropped
  2. create a Time Off record for the same time as the dropped shift, so that the employee cannot be rescheduled
  3. make the dropped shift available for self-scheduling (if configured); optionally the original employee can remain scheduled to the dropped shift

The schedule can receive a notification when an employee drops a shift.

General Notifications

NEW: This new feature allows the scheduler to send notifications to one or more employees. The functionality differs depending on whether shifts have been selected in Schedule Xpress.

  1. If no shifts are selected, the scheduler can send a notification about anything. For example, “Timesheets and overtime forms must be submitted to payroll by the end of the week” or “The annual picnic will be held at Creekside Park on Saturday July 25th. Please notify HR by July 1st if you will be attending”.
  2. If Open shifts are selected, the scheduler can choose which group of employees to notify about the Open shifts based on pre-configured business rules. As long as the employee can do at least one of the open shifts, they will be advised about the shifts. The scheduler can add an appropriate message to the notification. For example, “If you are interested in working extra shifts, please let the scheduler know by Friday lunch time". The notification will include summary shift information.
  3. If assigned shifts are selected, the scheduler can send a notification to the assigned employees. For example, “Please report to the south entrance of the building 10 minutes before the shift start time to receive today’s post instructions”. The notification will include summary shift information.

Shift display in Team Xpress

NEW: the scheduler can configure which fields the employee will see in Team Xpress. Previously this configuration was done in the Web Xpress Administration module.

eTime Xpress

SOAP API

The API now includes event and shift task information. The SOAP API is available for developers to access the Celayix database directly.

QuickBooks Online Payroll

The payroll interface with QuickBooks Online now uses an independent third-party utility, Zed Axis.

Team Xpress

Shift Reminders

NEW: Employees can set Team Xpress to remind them of their upcoming shifts, from 15 minutes to 7 days in advance of the shift.

Shift Confirmation

NEW: Employees can Confirm and Drop Shifts, as described above in Schedule Xpress. Any reminders will be seen in the notification area (the bell icon).

Bug Fixes

All parts of the Celayix suite have received performance and stability improvements, functional upgrades, user interface enhancements, and bug fixes in response to user feedback. A few highlights are noted here.

Schedule Xpress

In the previous release a fix was applied to improve performance when the schedule page contained thousands of shifts. Unfortunately this did not benefit smaller schedules. This is now corrected to optimize both cases.

Miscellaneous display glitches have been corrected.

Team Xpress

The map is now shown, even when Client and Site name are not shown.

Chat and iCalendar buttons are no longer shown when the features are disabled.

Time Sheet no longer creates duplicate records (CCRI).

Improvements when used on iPhone.

Spanish and French translations are improved.

Geofencing messaging is improved.

Self scheduling preferences are maintained correctly.
