FAQ - eTime Xpress

This is a list of the most common questions answered by Celayix support team. For questions not answered here, refer to the user guides and training videos.




Changing your Citrix gateway password

When you logon to the Celayix eTime Citrix gateway you may be asked to change your password.

Here’s how you do that.

  1. Logon to the website in the usual way.

  2. Enter your username and your current password.

  3. The system will prompt you to enter a new password.

  4. The new password must be 10 or more characters, and must have a combination of

    1. Capital letters

    2. Small letters

    3. Numbers

    4. Special characters such as period, dollar sign, question mark, etc.

  5. Enter the new password a second time

  6. That’s it.

The next time you log on you will use the new password you just created.





Citrix Receiver (and Workspace)

eTime uses Citrix Receiver to connect your computer securely to the Celayix cloud servers. Receiver allows eTime, which runs on Amazon servers in the cloud, to access your computer's resources, specifically the monitor, keyboard, mouse, local and network drives, and printers. Its goal is to make it look like eTime is running directly on your computer, when in reality it is running on a server that may be hundreds or thousands of miles away. Citrix Receiver is not required if you use only the web-based apps such as Schedule Xpress, Time Xpress and Team Xpress.

Installing Citrix Receiver on your computer

The first time you connect to your Celayix Citrix portal to run eTime Xpress, the portal will detect whether your computer has Receiver. If it does, then it goes directly to the eTime launch page. However, if it detects that your computer does not have Receiver, then it allows you to download and install Receiver. This install only needs to be done once on a computer.

  1. Go to your Celayix Citrix portal. E.g. https://etimexyzsecurity.celayix.com
  2. Login with your Citrix username and password. E.g., xyzsecurity01
  3. Click Detect Receiver
  4. Download and install the Receiver
  5. Click Continue only after Receiver has installed successfully
  6. Now click the orange icon to launch eTime Xpress

The next time you connect to your Celayix Citrix portal it will go directly to the orange icon, bypassing the detection.

Trouble with Citrix Receiver?

If your computer is giving you trouble with Citrix Receiver or Workspace, the easiest thing to do is to uninstall it from your computer, and then reinstall it using the instructions above.




Minimum System Requirements

To run Celayix successfully, we require that your computer be compliant with the minimum specifications.



Employees

I cannot add any more employees. What do I do?

  • Go to Help > About eTime to see how many employees you are Licensed for, and how many empty spaces Remain.
  • Employees can be in any of three statuses: Active, Inactive and Void. The Void status can be broken into Archived and non Archived.
  • All employees ever entered in the database count against the Licensed count and reduce the Remaining count. The only employees who do not count are those who are Archived.

How do I Archive an employee?

  • Locate the employee in the employee module
  • Change the status to Void
  • Select Archive Void Record from the Edit menu
  • Click Yes to confirm the archival
  • This frees a space for adding another employee
  • The employee's information and shift history is still available for reporting
  • NOTE: archiving does not remove an employee's Team Xpress account, so you will have to do this manually

How do I un-archive an employee who is returning to work?

  • Go to the employee module
  • Select Void from the View menu
  • Locate the employee
  • Select Restore from the Edit menu
  • Click Yes to confirm the restore
  • Change the status to Active
  • This uses one of the Remaining spaces, the same as adding a new employee

I need more employee licenses

If you need more employee space then send an email to support@celayix.com.



Users

You have licensed a number of login accounts. A single Citrix login cannot be used on two computers at the same time. If you attempt this, the second session will get a message: 

The message shows you which computers are logged in, yours and the other computer.

If you have more than one login account you can use them at the same time. E.g., titan01 and titan02 can be logged in at the same time, but each one cannot be logged in twice.

Employees Report no Check in Slider


This is likely a new employee.  Have you verified that you added them an account inside Voice Xpress/eClock?  It is required if they are allowed to clock in/out.  Go to Voice Xpress/eClock and add their employee record.  Or go to Configuration>Custom Programs>Create Voice Xpress accounts to create accounts for all users who might be missing.



How to Approve Time off Requests


You can approve Time off Requests inside eTime Xpress.  Go to Visual Scheduler. Tools>Time Off Schedule>File>Import Time off Requests


You will see a date range which represents the dates the requests were CREATED on - not for when they are. That information is shown on the request itself.  You can change the date range to see what requests have been submitted in the last day/week/month etc.


To approve a request, click on it to select it. Use the green pencil icon to "edit" it and update the status to approved:

 


After the status is approved, then you can click "Post" to post this to our "Time Off Schedule".  You will see a prompt that asks if you want to "set shifts that conflict with time off to OPEN".  This means any shifts for this employee that conflict with this time off will be set open, as this time off approval will excuse them from their existing shifts.
