1. Overview

This user guide will discuss how to review and post time sheets entered by employees using Web Xpress.
From the Main Menu of eTime Xpress, click Time & Attendance > File > Import > Web Time Sheets. The Web Time Sheet Import screen should appear as shown in the figure below.

Description

(1) View Selector

Specify the date range and records you want to view.

(2) Time Sheet Records

Displays web time sheets over date range.

(3) Time Sheet Tab

Displays web time sheet details. If the scheduled start and end fields are blank, the time sheet relates to an unscheduled shift.

(4) Posted Tab

Displays the posted field values. Field values displayed in red font indicate that the original web time sheet has been updated.

(5) Notes Tab

Displays notes related to web time sheet.

(6) Log Tab

Displays the process history of the web time sheet.


2. Reviewing Web Time Sheets

eTime Xpress allows you to preview the web time sheets entered by your employees before posting.

2.1. Review by Status

Web time sheet records can be reviewed by status types to allow you to check for completeness and errors.
From the Web Time Sheet Import screen, select your view from the pull-down in the View Selector as shown in the figure below.

Displays All web time sheet records.

Posted

Displays previously Posted web time sheet records over date range.

Unposted

Displays Unposted web time sheet records over date range.


The time sheet statuses of Draft, Submitted, Approved and Rejected are displayed for illustration purposes. Time sheet statuses are user definable and can be created by going to Configuration > Company/Branch > Branch Codes > Time Sheet Status Codes.

2.2. Review Notes

Web Xpress allows employees to enter notes or explanations when submitting time sheet records.
To review web time sheet notes:

  1. From the Web Time Sheet Import screen, select a time sheet record from the browser.
  2. Click the Notes tab to add, update and view notes.


3. Posting Web Time Sheets

Posting shifts is the process of using web time sheet information to create worked shifts in the Time & Attendance module of eTime Xpress.

3.1. Updating Web Time Sheet Records Before Posting

Prior to posting web time sheet records, you may need to update the shift information (i.e. In/Out time, break, Customer, Site or Service) to correct for attendance or other errors.
To update a web time sheet:

  1. From the Web Time Sheet Import screen, select a time sheet record from the browser.
  2. Click the Posted tab.


  1. Click the Update button in the Posted tab.
  2. Update the In/Out time, break, Status, Customer, Site or Service information as required. Fields that have been updated from the initial build web time sheet value will be displayed in red.
  3. Click the Save button in the Posted tab to save your changes.


Note: When a web time sheet record is updated, the original web time sheet information is still retained with eTime Xpress. To restore the original web time sheet information, click the 'Post' button followed by the 'Unpost' button.

3.2. Posting a Web Time Sheet


To post a web time sheet:

  1. From the Web Time Sheet Import screen, select an Unposted time sheet record from the browser.
  2. Click the Posted tab.
  3. Click the Post button in the Posted tab. The record status value should change from Unposted to Posted.


Note: If you are unable to post a time sheet record, the time sheet status may have been restricted from the post function when it was created by your Administrator (i.e. Rejected). To enable the post function on a time sheet status, please review the Branch Time Sheet Status Codes section in the Administrator Guide.

To post a range of web time sheets:

  1. In the View Selector of the Web Time Sheet Import screen, specify the applicable filters for the time sheets you want to view and click the Refresh button ( ).
  2. Click the Post All button on the Tool bar. All Unposted web time sheet records in the specified range with no errors will be Posted.


3.3. Unposting a Web Time Sheet


To unpost a web time sheet:

  1. From the Web Time Sheet Import screen, select a Posted time sheet record from the browser.
  2. Click the Posted tab.
  3. Click the Unpost button in the Posted tab. The record status value should change from Posted to Unposted.


To unpost a range of web time sheets:

  1. In the View Selector of the Web Time Sheet Import screen, specify the applicable filters for the time sheets you want to view and click the Refresh button ( ).
  2. Click Data > Unpost > All from the Menu bar. All Posted web time sheet records in the specified range will be Unposted.
